1. Kick-Off Meeting
The BPI Workflow Analysis Process typically begins with
a kick-off meeting with all stakeholders. The purpose of
this meeting is to describe the FOX approach and to
prepare participants for what to expect during the FOX
BPI engagement.
2. Assessment of Current Environment
The next step is referred to as the initial discovery
and site survey to gain an understanding of the current
environment. Consultants spend time at the client site
observing, in detail, the current manual process. FOX
consultants interview staff using a pre-developed
interview tool tailored to the client’s business to
obtain an understanding of the perceived efficiencies
and deficiencies of the current process, as well as to
obtain an understanding of the focus and purpose of the
business unit. FOX consultants spend time with
management and supervisors as well as with the people
performing the tasks associated with the process under
review. In addition, time is spent with the Management
Information Systems group to gather data on the existing
infrastructure of the business.
3. Business Modeling
Once a detailed understanding of the current process is
obtained, the FOX consultant makes use of various
business modeling techniques to identify the essential
aspects of the client's process. FOX utilizes various
workflow diagramming methods such as cross-functional
workflows, cause and effect diagrams (fishbone
diagrams), Integrated Definition (IDEF), decision trees,
and other means to portray the current environment. FOX
provides an analysis of those diagrams and related
materials to develop optimal processes and workflows as
a means to eliminate redundant, duplicative and non-
value added steps currently being performed within the
organization. The developed workflow diagrams are used
as the foundation to structure a new automated process.
The essential aspects of the process and knowledge of
any reliable document management technology may be used
to conceptualize any automated solutions that meet the
requirements of the business process while taking
advantage of the applied technology to gain further
efficiencies.
4. Recommendations
Once the client is comfortable with the proposed process
improvements and related process automation, the
conceptual design is expanded to detail any application
of information technology to facilitate automation. This
phase documents goals and expectations of the client and
the specific functionality required of the automated
product.
5. Implementation
If the project involves implementation of an
organizational change, FOX offers experience in
organizational change
management to see the proposed operational changes
through completion. For more information on these

project involves implementation of a new application,
FOX works with the individual Departments to implement
the new business processes. Training materials can be
developed and presented in training sessions to key
staff. Key staff members are trained using "train the
trainer" techniques in order to provide them with the
knowledge to conduct training to other staff on an
ongoing basis. Additionally, FOX consultants are usually
available onsite for technical and business support
while the changes are actually made.
